Aguaclara is a reasonably small swimwear, lingerie and underwear business selling to trade customers via agents, and retail customers via online websites. I prefer to keep the business a manageable size without the need for employees, but was faced with the task of doing so much myself I simply couldn’t cope. Joan came along and used her excellent technique of ‘stapling herself to an order’ to understand my present business systems and working practices. At the time, I was working like a headless chicken and it felt that I couldn’t afford the time to spend with Joan going through it all. However, I cannot stress enough how well this actually worked, both as an exercise for Joan to get to the bottom of my business, and for me to take a step back and look at how badly I was managing things. By doing this Joan could see immediately where we could improve efficiency through IT and thereby cut down on man hours drastically. Her first task was to design an electronic order form in Excel which customers now use from the UK and all over the world to place orders after viewing the product on my trade website. To Joan this was a simple task, but it saved me many, many hours of work and enabled me to receive orders from as far away as India, Oman and other places. Joan’s next task was to tackle the mountains of bits of paper I had with customer names and address on and hundreds of diary notes. One of the important parts of my business is keeping and building contact details of trade customers and potential customers so I can target them with new products etc. I had tried to start my own database without much success, but Joan optimised and improved my Access database and it is now used as a complete customer management system, reminding me when I need to contact customers, sorting customers from potential customers, in fact giving me lots of different ways to collect, record and view this valuable information. Joan has also customised my Sage package to make it specific to my company and to take into account the exacting needs of my customers, such as Figleaves.com, who require very detailed information on their invoices. As well as being an IT Consultant, Joan is also an experienced trainer, so as she improved my systems, she also trained me how to amend and improve on the various IT packages at the same time. Absolutely invaluable! My business has grown from turning over £60,000 three years ago to £150,000 at end May 08 and is on target to turnover £250,000 at end May 09 and still just with myself as the only full-time employee, with my daughter helping out occasionally. This would simply not be possible without Joan’s supremely professional, businesslike approach, the excellent IT systems she has put in place for me and her calm, level-headed support in times when I was in crisis.
